How We Work

From first call to a system that works

Five stages. What we do, what you do, what you get, and how long it takes — so you can judge how we work before you commit to anything.

01

The free audit

30 minutes · no cost

What we do

We ask what the business does, where enquiries come from now, and which jobs eat the most time. We look at your site and your numbers with you on the call.

What you do

Turn up. Bring rough figures if you have them — enquiry volume, what you spend on marketing, how long a quote takes. Estimates are fine.

What you get

Three specific fixes you can ship in week one, whether you hire us or not. Sent in writing after the call.

02

Scoping

1–2 weeks

What we do

We map the process or funnel properly — where the data lives, what software you already run, where decisions are made by hand. For operational work this usually means time on-site watching how the work actually flows.

What you do

Give us access to the systems involved and half a day of the people who do the work. They know where it breaks better than anyone.

What you get

A written scope: the problem, the proposed system, what it integrates with, the timeline, and a fixed price. No slide deck.

03

Build

Target: 4 weeks

What we do

We build it and run it alongside your existing process rather than replacing anything on day one. You see working software early and often, not at the end.

What you do

Review the outputs against decisions you would have made yourself. Tell us where it is wrong — that is the point of this stage.

What you get

A working system running in parallel, plus documentation. Complex multi-system integrations run to six or eight weeks; we say so at scoping, not after.

04

Switch over

When accuracy holds

What we do

We move you across only once the system is consistently matching the decisions your team would make. Edge cases stay flagged for a human.

What you do

Decide when the threshold is met. It is your call, not ours.

What you get

The system in production, your team trained on it, and a written handover. You own it — no lock-in, no proprietary platform you are stuck renting.

05

Measure

Ongoing

What we do

Every system we build has a number attached — enquiries, hours saved, cost avoided. We report against that number, not against activity.

What you do

Tell us if the number stops mattering. Priorities change and the measure should change with them.

What you get

A regular report on the one metric that matters. If something is not producing, we say so and we cut it.

How we operate

Four things that do not change

You own what we build

Systems are built on your accounts, in your tools, documented for your team. If you stop working with us, nothing switches off.

Nothing gets replaced on day one

New systems run in parallel until they have proved themselves against real decisions. You are never asked to trust it before it has earned that.

Fixed scope, fixed price

You get the price at scoping, before any build starts. If scope changes, we re-quote rather than letting an invoice drift.

We will tell you when the answer is no

If AI is not the right fit, or you are not ready, we will say so on the first call. That is cheaper for both of us than finding out in month three.

Common questions

About the process

What if we get to scoping and decide not to go ahead?

That happens and it is fine. The audit is free and the scope is yours to keep — including if you take it to someone else.

How much of our time does this take?

The audit is 30 minutes. Scoping needs about half a day from the people who do the work. During the build, expect an hour a week reviewing outputs. After switch-over, close to nothing.

What happens if the system gets something wrong?

That is what the parallel-running stage is for. The system makes recommendations, your team checks them, and we only move to live once accuracy meets a threshold you set. Even then, edge cases get flagged for a human.

Do we have to replace our existing software?

No. We build on top of what you already run — your ERP, booking system, CRM or job-management software. The AI layer reads from your systems and writes decisions back into them.
